Woodlawn Communications has a legitimate interest to process personal data relating to decision makers, budget holders, residents and community groups affected by projects and other interest groups from the property development and regeneration community.
The collection and use of data from a number of sources is essential to our company’s ability to provide services to our clients. Woodlawn Communications collect data that identifies you or could reasonably be used to identify you as an individual, which we refer to here as Personal Data. The personal data that we may collect from members of the public may include: Name, Address (including Postcode), Phone, Email. For professionals as part of a client team or company we are providing a service to, this includes company contact details, such as name, job title, postal address, telephone numbers and email addresses, and financial and transaction data, such as credit or debit card numbers used in relation to our services.
We will only use information that we collect about you lawfully in accordance with GDPR.
The personal data we collect may be from data shared by third parties – including but not limited to: local authorities, public sector bodies, trade unions, LEPs, Higher Education institutions – for the legitimate interest of raising awareness about developments in the relevant area of interest. Data will be gathered from publicly available sources such as local authority websites, the Parliamentary website, corporate websites, corporate social media, related business platforms, e-newsletter respondents and the press.

Woodlawn Communications may also collect information from data provided by you as an attendee or participant attending any event organised by Woodlawn Communications, either on behalf of a client or for us directly.

Security
Woodlawn Communications takes the security of your data very seriously. All employees are trained on our technology and security policies, rules and measures designed to protect the personal data under our control, both on or off-line from unauthorised access, improper use, alteration, unlawful or accidental destruction and accidental loss.
Any data which is stored offline, is restricted to our offices. Only employees of Woodlawn Communications are granted access to such information. We will take all possible procedures to ensure that any data transmitted over the internet is secure, but we are limited with our ability to guarantee total security.
There are exceptions where, for the purpose of distributing invitations to public events, we are required to submit a list of addresses to our third party mailing house. Whenever this occurs, the third party mailing house is covered by a signed contract between Woodlawn Communications and the mailing house for non-disclosure.
Access To Your Information And Correction
Under GDPR you have the right to request a copy of the information that Woodlawn Communications holds about you. There is a standard timescale of one calendar month for us to provide you with the information needed, although depending on the type of enquiry we may need an extension.

If an employee leaves a role with a company we regularly contact, their name and contact details are deleted from the database. However, the information may still be used for suppression purposes i.e. to ensure that it cannot be added to the database again.
